Thank you for using PlayPrep. This Privacy Policy explains how PlayPrep Labs LLC collects, uses, shares, and protects your information when you use our mobile application and related services. We are committed to transparency and to keeping your information safe.

1. Who We Are

PlayPrep is a mobile application designed to help anyone plan, organize, and manage activities, crafts, field trips, and learning experiences — including parents, teachers, homeschoolers, camp counselors, group leaders, and individuals planning activities for themselves or others of any age. PlayPrep is operated by PlayPrep Labs LLC, an Indiana limited liability company.

2. Who This App Is For

PlayPrep is intended for use by anyone age 13 and older who plans or participates in activities — including parents, educators, homeschoolers, camp counselors, group leaders, and adult learners. The app supports activity planning for participants of all ages, from young children to adults.

Any information about participants — such as names, birthdates, age ranges, interests, or accessibility preferences — is entered by the account holder (who must be at least 13 years old) on behalf of themselves or others in their group.

By using PlayPrep, you confirm that you are at least 13 years old. If you are under 18, you confirm that a parent or guardian has reviewed and agreed to this policy on your behalf.

3. Information We Collect

3.1 Account Information

When you create a PlayPrep account, we collect:

3.2 Content You Create

Data you enter into PlayPrep is stored on our servers (Supabase) and locally on your device. This includes:

A note on participant profile data Birthdate and accessibility information you enter for participant profiles is used solely to personalize activity recommendations within the app (such as filtering by age-appropriateness or accessibility fit). This data is stored in your account and is never sold or shared with advertisers or third parties for marketing purposes.

3.3 Location Data

PlayPrep may request access to your device's location for the following purposes:

Location access is optional. You can use PlayPrep without granting location permission. You can revoke location access at any time in your device settings.

3.4 Imported Content

PlayPrep allows you to import activity content from third-party URLs. When you use this feature, the source URL is permanently associated with the imported activity to preserve attribution. You are responsible for ensuring your use of imported content complies with the original creator's terms and copyright.

3.5 Crash Reports & Diagnostics

PlayPrep uses Sentry (sentry.io) for crash reporting and error diagnostics. When the app crashes or encounters an error, Sentry automatically collects:

Sentry data is used only to identify and fix bugs. It is not used for advertising. You can review Sentry's privacy practices at sentry.io/privacy.

3.6 Subscription & Payment Data

PlayPrep subscriptions (Pro and Pro Plus) are managed by RevenueCat. RevenueCat processes subscription status, entitlements, and renewal data. We do not handle or store your payment card details — all payment processing is handled by Apple's App Store or Google Play. RevenueCat's privacy policy is available at revenuecat.com/privacy.

3.7 Push Notifications

If you enable push notifications, PlayPrep may store a device push token to deliver local and server-triggered notifications (such as plan reminders or collection collaboration updates). Each device you use stores its own token, so notifications are delivered correctly to all of your active devices, not just the most recently used one. You can disable notifications at any time in your device settings or in the app's Notifications settings screen.

3.8 Device & Account Security Data

When you use PlayPrep’s cloud sync (Pro and Pro Plus) on a phone, tablet, or through the web companion, we register that device to your account so sync and account security work reliably. For each device, we store:

This information is used only for sync reliability and account security — for example, enforcing the device limit described in Section 9, letting you view and manage your connected devices from the in-app Manage Devices screen, and flagging unusual account activity (such as an unusually high number of new devices in a short time) for manual review. It is never used for advertising and never shared with advertisers.

Approximate location is resolved using a third-party IP geolocation service (Section 6). If that lookup ever fails or is unavailable, your device still works normally — it simply won’t show a location on the Manage Devices screen.

5. Affiliate Links & Sponsored Content

5.1 Affiliate Links — Amazon Associates

PlayPrep participates in the Amazon Services LLC Associates Program, an affiliate advertising program designed to provide a means for us to earn fees by linking to Amazon.com and affiliated sites. When you tap a "Shop" or supply link in the app, you may be directed to Amazon with our affiliate tag (playprep07-20) included in the URL. If you make a qualifying purchase, PlayPrep Labs LLC earns a small commission at no additional cost to you.

5.2 Other Affiliate Programs

PlayPrep may participate in additional affiliate programs from time to time (such as Kiwi Co, Melissa & Doug, Viator, or other family-focused brands). When such partnerships are active, supply or product links may include affiliate tracking. We will clearly label sponsored or affiliate content within the app. Affiliate relationships do not influence our activity recommendations or editorial decisions.

5.3 Sponsored Content

PlayPrep may feature sponsored content (such as a "Sponsored" activity or product spotlight) from brand partners. Sponsored content will be clearly labeled. PlayPrep Labs LLC retains full editorial control and does not allow sponsors to access your personal data.

7. How We Share Your Information

We do not sell your personal information. We share information only as described in this policy:

8. Data Retention & Deletion

We retain your data for as long as your account is active or as needed to provide services. You can manage most of this yourself from Settings → Privacy & Data in the app:

Some anonymized data (such as aggregated crash reports in Sentry) may be retained after account deletion. See Section 9 for how long cloud-synced content itself is retained, separate from your account.

9. Device Limits & Cloud Data Lifecycle

Pro and Pro Plus subscriptions include cloud sync across up to 5 devices (including the web companion). This section explains how that works day to day and what happens to your data over time — see our Terms of Service for what counts as misuse of the device limit.

9.1 Up to 5 Connected Devices

A phone, tablet, and the web companion each count as one device toward the 5-device limit on Pro and Pro Plus accounts. You can view your connected devices — platform, approximate location, and last-active time — and remove any of them at any time from Manage devices in Privacy & Data. Removing a device frees its slot immediately, with no waiting period to reconnect.

9.2 If a Device Is Offline a Long Time

If a device hasn’t successfully synced in 45 days or more, the next time it reconnects we ask you to choose between downloading the latest data from the cloud (replacing anything saved only on that device) or merging that device’s data back in first. We ask rather than deciding for you because either choice can mean losing something, and you’re in the best position to know which matters more for your situation.

9.3 Deleted Items

When you delete an activity, place, or other item, it isn’t removed from our servers immediately — it’s marked for deletion so your other devices have a chance to learn about the change the next time they sync. Once enough time has passed that every active device has had that chance (typically within 45–90 days, depending on your devices’ own sync activity), the item is permanently removed.

9.4 Cloud Data After Cancelling a Subscription

If you cancel or downgrade from Pro or Pro Plus, you keep using PlayPrep as a free user with everything still saved on your own device. If your account stays on the free tier for 31 consecutive days, your cloud-synced backup (activities, places, and related content) is deleted from our servers — your account itself, your settings, and anything still saved on your device are not affected. If you resubscribe afterward on the same device, your data is restored automatically. Resubscribing on a different device after the original device has been lost, reset, or had the app removed will not recover that backup.

10. Minors & Participant Privacy

PlayPrep accounts must be held by users age 13 or older. We do not knowingly collect personal information directly from children under 13. Participant profile data (nicknames, birthdates, interests, accessibility preferences) is entered by the account holder — an adult or older teen — on behalf of themselves or others in their group, and is stored within the account holder's account.

If you believe a child under 13 has independently created an account and provided personal information, please contact us at support@playprep.app and we will delete that account and information promptly.

12. Your Rights

All Users

California Residents (CCPA)

PlayPrep does not sell personal information. We do not engage in cross-context behavioral advertising using personal identifiers. California residents have additional rights under the CCPA including the right to know what personal information is collected, to delete personal information, and to opt out of the sale of personal information (which we do not conduct). EU/EEA Users (GDPR)

If you are located in the European Union or European Economic Area, you have additional rights under the GDPR including the right to restrict processing, to object to processing, and to lodge a complaint with a supervisory authority. Our legal basis for processing your data is the performance of the contract (providing the app services) and legitimate interests (improving the app, security). 13. International Users

PlayPrep Labs LLC is operated from the United States. If you access PlayPrep from outside the US, your information may be transferred to and processed in the United States. By using PlayPrep, you consent to this transfer.

14. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you through an in-app notice and update the "Effective Date" at the top of this document. Continued use of PlayPrep after changes constitutes your acceptance of the updated policy.
